1. Import/Export Spam, block and allow lists

   We have the ability to add emails or domains to lists to either send them to Junk, block them entirely, or allow them always to get to the inbox, but right now this can only be done one at a time. The same goes for the organization filters.

   Please give us the ability to export these, so we can share with other users, copy to another account, etc, and to import these - so we can use lists from our old email providers or publicly available lists.

   I would expect this would be handled as a CSV, but would love to see it in any format. I have a large collection of emails and domains that have personally spammer my other emails and work accounts - too large to import manually.

2. More flexible themes for web mail

   We need more flexibility with themes in the web version of the mail (tbh in desktop apps i would like to have this ability also: at least to use web theme inside the app without settings for it). Look at the attached image — I really like how one of the services lets you choose a theme and also set accent colors.

   Currently, we can change the mailbox color scheme or select ready-made themes, but it would be great to also apply custom colors to these themes. Sometimes it’s fun to have a Christmas or Halloween theme. Ideally, there could be a “Seasons” theme that automatically changes the interface with seasons and holidays.

   This is more of a nice-to-have feature, so it could be limited to paid subscribers.

3. Show labels based on latest email, not group

   Currently when emails are grouped, the email in the inbox shows the first label of any email in that group, based on the custom sorting of the labels. Instead I want the labels to only reflect this particular email, not its group.

   As an example: For some services I have multiple accounts. These accounts use different email addresses, which automatically apply a label for each address:

   Address A => Label A
   Address B => Label B
   Address C => Label C

   If the latest email was sent to address C and was labelled Label C, it shows as Label A in the inbox if any of the previous emails in that group were labelled Label A, or Label B if any of the previous emails in that group were labelled Label B. Instead it should show Label C, because realistically that's what it is.

4. Allow forwarding all emails from an alias to another person

   It would be very useful if we were able to automatically forward all emails that an alias receives, rather than having to manually add all domains/senders we expect to recieve emails from.

5. Dedicated Proton Calendar App for MacOS

   Instead of using the proton mail app for calendar, have a dedicated proton calendar app for macOS.

   In the meantime, or if this is not something Proton wants to pursue, I would appreciate a couple of changes to the proton mail app:
   I would like to be able to pick which is the default view when the app is launched to calendar instead of mail.

   I would also like to be able to two finger swipe left or right to be able to scroll back and forth between different weeks or months or days instead of just having the arrow buttons in the corners (or a keyboard command that goes to the next or previous one).

   When creating events that have start and stop times, so not all day events, I would like to be able to click and drag an even down from the start to end time. This is already a feature, I would just like it changed to be able to do it across multiple days (as someone who routinely schedules something from 1900 one day through 0730 the next day)

   I would like to be able to click on an event and then use the keyboard shortcut to copy the event, and then be able to use the keyboard shortcut to paste the event somewhere else.

   I would like to be able to assign custom Hex colors to calendars.

6. Sieve vacation extension (RFC 5230)

   I would like to kindly request the addition of the Sieve vacation extension (RFC 5230) to Proton Mail’s implementation.

   This extension would allow users to create personalized automatic replies directly via Sieve filters, for example:

   Sending a confirmation email when a message is received on a specific address (e.g., support or contact mailbox).

   Customizing the subject and body of the automatic response.

   Ensuring rate limits with the :days parameter to avoid mail loops.

   Currently, Proton Mail only provides a global autoresponder via the settings panel, which does not allow for conditional or address-specific replies. Implementing the vacation extension in Sieve would give users far greater flexibility and security, especially for domains used in professional or business contexts.

7. Go to Folder

   In Proton Mail's web application, I would like to go easily to a particular folder. Convenient ways would be:
   - A 'Go to Folder...' shortcut (much like the very useful 'M' shortcut to move a message to a folder). 'Shift + M' is a natural candidate.
   - When viewing a message listed in 'All mail', this message's folder icon appears (on the same line as the 'From' field, between the 'Star' icon and the 'time received'). Clicking on this icon currently folds the message, but it could instead offer me some actions such as 'Go to folder' or 'Move to other folder...'

   I am trying to maintain a clean (i.e. empty) Inbox. So I usually view new emails in the 'All mail' section, with the 'Show: Unread' "filter" active. When I view a new email, it's usually been automatically moved by a Custom Filter to some folder, sometimes deep in the hierarchy. If I need to access that message's folder, currently the only way I know of is to click my way down that hierarchy on the left panel, which is cumbersome.

8. Ability to move (pm.me) email addresses to other accounts

   would be lovely to have the ability to move email addresses with proton domains to other proton accounts.

   I would like to merge two accounts I have, and the current suggested method [deleting account] is very stressful.
   the account I'd like to delete has multiple addresses and deleting them all at once and trying to catch them before someone does is really stressful.

9. advanced syntax in search

   Mail : Advanced Search Syntax, operators and Keywords

   Having an advanced search syntax ("from:user@domain.com", "to:user@domain.com", "filetype:xlsx"...) would ease and speed up the use of the search feature among mail or other apps. Many competitors propose such feature but search engines (like Duckduckgo, Brave, etc..) might also be inspiring for a powerful search syntax.

10. Detect and strip localized reply prefixes

    When replying to emails, Protonmail and many other clients detect the existing "Re:" prefix in the subject, and don't add a new one to prevent the "Re: Re: Re: ..." mess.

    This is fine in English, but other languages use different prefixes.

    For example, the Finnish localization of Outlook sends its replies with "VS:", but Protonmail doesn't understand that prefix. This causes email threads with people who use Outlook to look like this:

    -> "Original Title"
    <- "Re: Original Title"
    -> "VS: Original Title"
    <- "Re: VS: Original Title"
    -> "VS: VS: Original Title"
    <- "Re: VS: VS: Original Title"
    -> "VS: VS: VS: Original Title"

    Please add a setting that allows the user to customize the list of prefixes that should be stripped from the subject when replying.

11. Open Individual Email Without Closing All Notifications

    If I get ten emails, and only want to open one right now, let me open a single email and leave the remaining notifications untouched. Currently, opening ANY protonmail email closes ALL notifications - this is extremely frustrating, especially when managing email accounts for multiple domains.

12. Auto-Reply for Individual Addresses

    Proton Mail currently only supports a single global auto-reply. Users with multiple addresses or aliases have no way to set individual auto-responses per address.

    Proposed improvement: Allow users to configure auto-reply settings independently for each email address/alias on their account.

    Each address should have its own:

    Custom message text — so replies match the context of that address (e.g. professional tone for a work address, casual for personal)
    Schedule (date range) — to enable auto-replies only during specific periods, independently per address
    Sender filter — choose whether all senders or only known contacts trigger the auto-reply
    On/off toggle — quickly enable or disable the auto-reply per address without deleting the configuration
    Why this matters: Many Proton Mail users rely on multiple addresses to separate different areas of their life (work, personal, projects, volunteering, etc.). A global auto-reply doesn't reflect this — it either leaks context across addresses or forces users to choose which address gets an auto-reply. Per-address control would make Proton Mail's auto-reply feature truly usable for multi-address setups.

13. Restrict SMTP Token to Specific Recipients to Limit Damage if Leaked

    I need a secure way to use SMTP tokens on a webserver so that, if a token gets leaked, the potential damage is limited as much as possible.

    My main requirement:
    The token should only be usable to send emails to a specific set of recipients. I want to be able to define (and limit) allowed recipients (by full email address, or by recipient hostname) when generating or issuing the SMTP token.

    Key points:

    The SMTP token must not be valid for sending to all addresses; it should work only for the recipient addresses or domains I specify.

    If the token is exposed, it must not allow sending emails to others, to reduce the risk of abuse or spam.

    I don’t want “all or nothing” tokens; the access needs to be tightly scoped per recipient.

    If possible, enforce these limits at the mail server / provider level, not just in the sending client.

    Why this matters:

    If someone steals the token, they should not be able to send spam or phishing attacks to people outside my allowed list.

    This prevents major abuse and protects my system and reputation.

    Concrete Request:
    Please explain how to set up such restricted SMTP tokens, or provide a solution so tokens can be generated and limited for use only with specified recipient addresses or domains.

    Contextualised User Story: As a user who has made extensive use of folders and labels via filters, I generally use "All mail" for search, however this pulls even archived mail. If I've relegated mail to archive I'd like to be able to easily exclude these from an All mail search, unless I'm specifically wanting to search archive.

    Simple Form: As a user I would like the option to simply exclude archive in an "All mail" or other search. With configuration preference to have this checked on or off by default and toggleable in the search interface.

    This would provide mail serivce performance benefits as users archives grow, improving search performance and load.

    This would also benefit business and enterprise customers who may have higher demand legal archiving requirements and provide a basis for warm storage options.

15. Quick Mail Filter Creation

    Can we please get an option in default mail view to create filters for incoming emails.

    So you get an email for a new newsletter you have subscribed to, while true you can go into move email into another folder and click create a rule its very very basic doesn't allow you to customize anything and is always based on the sender.

    What would be great would be the option to create a rule for an incoming email and you get a pop up with sender, incoming email (so allias support) as well as subject all filled in and you can change / remove any categories as needed while also setting a rule name, and OFC what you wish to do with the Rule aka forward it to another or mark it as read move to folder, e.c.t

    I know fastmail has this and it makes life so much easier to organise your inbox. I know you can do all this manually but you have to go via settings and have to copy/remember all the fields you need to fill in.

    Just a small idea that makes organizing emails much easier and can be configured on the fly

16. Filter Based On Environment

    It would be greatly appreciated if there was the ability to filter existing emails based on environment with a custom sieve filter. There are a number of reasons why this could benefit everyone trying to organize their emails as they adapt into Proton Mail.

    Here are my issues with not having this ability:

    Importing a large batch of emails with Easy Switch usually calls for manually applying filters to existing mail.
    This means all my emails in the trash are relabeled and clutter my label filters. I now have to either delete the trash permanently or move the emails out and back into the trash to remove the labels again.

    This problem extends to my archived mail. I don't want to relabel them after they have just been sorted into the archive. Not having the ability to avoid labeling these adds them back into the "unarchived" labels I just removed.

    I know that this is possible because it is provided by default to avoid the spam inbox. This concept should really be expanded upon.

    Some extra details, I don't use custom folders at all and only custom labels. This is due to the fact that the ability to have a combined inbox is lost if you use folders. All mail is not sufficient because that includes sent mail and archived mail which isn't the same as a combined inbox. I think it would be beneficial to include the ability to exclude archived mail from other inboxes just like you can with trash and spam. The above labeling issue could also be resolved with having the ability to remove archived or trash/spam mail from a label filter.

    I don't want all this, just looking for anyway to keep archive mail in the archive only and trash in the trash only. This includes out of other labels.

    Especially for business customers, being able to see inbound and outbound email logs, along with the SMTP response (for outbound emails) would help troubleshoot issues without needing to reach out to the team.

18. Allow images in Auto-Reply rmessage

    Please allow us to put images in the Auto-Reply message. We used to have this feature in Google, and lost it when we switched to Proton.

    We love using Auto-Reply as a first, automatic response from our business when customers reach out to us, and it would be much improved with images.

19. Sending emails FROM a group address

    I would like to be able to send emails using a group address as the sender (admin@domain.com for example) to make sure my colleagues in the same department receive the replies in case I am not available.

20. Multiple addresses for groups

    The groups feature lacks support for multiple addresses. Thinking of my organziation with multiple domains, it would be great to allow for having a group multiple adresses as well.

    E.g. office@tld.com, office@tld.eu office@tld.de, ...
