1. Improvements for business

   I recently considered switching my nonprofit from Proton for Business to Ksuite for business because of several items Infomaniak offered that Proton does not:

   1. Captions in video meetings: Please allow captions or transcriptions ProtonMeet. This is an accessibility issue.

   2. Shared email addresses: For a business, the ability to share an email address across uses is simply a must. For example, several users may need to access and check info@business.com and reply from it.

   3. Connect an existing OnlyOffice drive/account: We have an existing OnlyOffice drive and would love to be able to connect that to our Proton drive. We learned that Kdrive would allow connection of both OnlyOffice and another type of drive so users could simplify their workspace.

   4. A single platform workspace: While nether Proton nor Ksuite offers a single app that integrates email, calendar, and drive all into one workspace, Ksuite did have a browser-based platform that put them all in one space. Not everyone in my team is tech savvy and a single space work app for both desktop and mobile would certainly simplify things for our users.

   For now, I'm sticking with Proton for our team, but these are improvements that would certainly show why Proton is the best choice.

3. Make Duo/Family true shared plans

   The idea is simple – allow for shared email addresses within Duo/Family plans, which anyone in the family group can access. Allow for true shared documents/folders in Drive, that anyone who they are shared with has equal access – at the moment, shared folders cannot be accessed through Finder (macOS), nor made available offline. To attach a file from a shared folder, the sharee must first download it from the web app, which makes a mockery of using cloud storage in the first place.

   It seems that Duo/Family is really just a pricing tool, not a shared family group in any meaningful way.

   The idea is simple – allow for shared email addresses within Duo/Family plans, which anyone in the family group can access. 4. Unreliable cloud storage

   Proton Drive uploads are broken. The iOS app shows a file as present in Proton Drive. The Web app shows the file. But the macOS app fails to show the file. Even after updating the app and relaunching multiple times. Do not advise using Proton Drive until the platform significantly improves its reliability problems. Sadly, nobody hires qualified engineers in technical departments in 2026.

5. Kudos On Proton Pass & Proton Authenticator

   Have been using LastPass for a LONG time. Also started using Apple Passwords. I like your Pass/Authenticator apps better than those two. A couple of functional gaps, but easier to use, fast, simple, and has some features the others don't have. KEEP UP THE GREAT WORK.

   UX Design Critique: Proton App Icon System

   Overall assessment

   This icon set fails the core job of an app launcher: enabling fast, pre-attentive recognition. A user opening this switcher cannot identify apps without reading labels. That's a fundamental usability failure, not a stylistic preference.

   1. Color hierarchy is broken
      Eight of ten icons sit in the same purple-blue-pink gradient family. Color is the fastest channel in visual perception — processed pre-attentively in roughly 200ms, before shape recognition kicks in. By collapsing eight apps into one hue family, Proton has eliminated its strongest recognition signal.
      The two exceptions (Docs blue, Sheets green) prove the cost of the choice: they're the only icons your eye locks onto immediately. Everything else requires conscious search.
      This isn't a brand-cohesion win. It's brand-cohesion over usability — and the trade is bad, because users interact with the launcher hundreds of times per week and see the marketing lineup once.

   2. Shape language lacks distinctiveness
      Strong icon systems use silhouette as the second recognition channel after color. Proton's silhouettes collide:

   Calendar and Drive — both rounded squares with a folded corner. Same proportions, same gradient direction. At 24-32px they're functionally identical.
   Pass and VPN — both minimal downward-pointing geometric primitives (rhombus, triangle). Different shapes technically, same visual weight and reading.
   Mail and Meet — both have a folded/peaked top edge silhouette. In a quick scan they cluster.

   When color fails and silhouette overlaps, there is no fallback. The user is forced into label-reading, which is the slowest recognition mode available.

   1. Glyphs are semantically empty This is the deepest problem. App icons should encode function in shape:

   Envelope → mail
   Folder → file storage
   Key/lock → passwords
   Shield/globe → VPN
   Card stack → wallet
   Date grid → calendar

   Proton gets two right (Mail's envelope, Drive's folder). The rest are abstract:

   Pass is a rotated square. It has no relationship to passwords, vaults, keys, or credentials. A new user cannot infer the function from the icon.
   VPN is a downward triangle — closer to a play button than a shield, tunnel, or network symbol. No functional signal.
   Calendar's meaning comes entirely from the "31" badge. Strip the badge and the silhouette is just a folded square — same as Drive.
   Wallet is an abstract blob with a coin. The coin carries the meaning; the container shape doesn't.
   Meet is a folded purple shape. No video, no camera, no people, no conversation cue.
   Lumo is a cat. Cute, but unrelated to AI assistance — purely a mascot, no functional signal.

   Proton has built a system where the gradient is the message and the shape is decoration. This is inverted. In functional iconography, shape carries meaning and color is the brand layer applied on top. The current system has a strong brand layer with no functional layer underneath, which is why every icon feels interchangeable.
   4. Inconsistent visual treatment
   The set isn't even internally consistent in approach:

   Calendar is a 3D-perspective mockup with a date badge — a literal app screenshot rendered as an icon.
   Docs and Sheets are flat, document-style glyphs with implied paper texture.
   VPN, Pass are flat geometric primitives.
   Mail, Drive, Meet, Wallet are gradient-on-flat-shape compositions.
   Lumo is an illustrated character.

   Five different visual treatments across ten icons. The set doesn't read as a designed family — it reads as artwork accumulated over time without a unifying system. Compare to Apple's macOS or Microsoft 365: every icon in those suites follows a single, declared visual language.
   5. The "New" badges expose the deeper issue
   Three icons carry "New" badges (Sheets, Lumo, Meet). The badges are doing recognition work the icons themselves should be doing. If users could identify apps by their icons, they wouldn't need badges to find the new ones — the unfamiliar shape would be the signal.
   What a fix looks like

   Assign each app a dominant hue. Keep the gradient style; vary the base color. Mail purple, Calendar blue, Drive magenta, VPN green, Pass orange, Wallet gold, Meet teal, Lumo violet. Same family, distinguishable at 16px.
   Redraw the abstract glyphs to carry function. Pass → key or vault. VPN → shield or globe. Calendar → actual date grid, not a folded square. Meet → camera or speech bubble.
   Pick one visual treatment and apply it everywhere. Either flat geometric, or document-style with implied depth, or illustrated. Not all three. Lumo's illustrated cat is particularly out of place.
   Audit silhouette differentiation explicitly. Lay all icons out at 16px in monochrome. If any two are confusable in that test, redesign them.

   Bottom line
   The Proton icon set has strong individual aesthetic execution and weak system-level design thinking. The gradients are well-crafted; the system they sit inside doesn't function. This is fixable — Docs and Sheets show the design team has the capability — but it requires accepting that brand cohesion was over-prioritized at the expense of recognition, and rebalancing the system accordingly.
   Worth doing before adding the eleventh app to the suite, because each new icon added to the current system makes the recognition problem incrementally worse.

7. Accessibility request: Ensure ability to disable screen capture prevention features

   Accessibility software that can help people with some types of visual impairment see what is on their screens (ZoomText and Windows Magnifier for example) require screen capture to work. Hiding apps from screen capture (screen capture prevention) also hides them from people that use accessibility software that require screen capture.

   For accessibility reasons any app (and all apps) that implement screen capture prevention features also need to provide methods of opting out of or disbaling those features.

9. Make sure all products are listed in the "Give feedback" box on the User Voice start page

   Make sure that the User Voice and Support/Help/Feedback dialogues are consistent. When a new product is launched the entire process from idea > online help > support should be updated.

10. Move Standard Notes fully to European infrastructure.

    As far as I could read: Standard Notes still uses an AWS-based firewall for web services, with IP addresses temporarily stored by AWS Standard Notes. The public servers are still in the US Standard Notes — their own help page still says so.

    Would be great to move Standard Notes fully to Europe!

11. ProtonMail Bridge - Proton Drive

    With the protonmail bridge - aka ProtonDrive Bridge, would it make sense to connect to our Proton Drive. I see it as a way to bridge into our Proton Drive to easily access our files from our favorite file explorer rather using the web browser.

12. Dark theme for loading and login pages

    Liked so far the overall dark theme but I think it still miss some features, i.e. the login page and the loading page flash a white&bright page, so it's kinda annoying the switch between light and dark page.
    The idea is that if the login/loading pages detect that you are using dark theme on the browser or in the OS, then there is no such a light pages.

13. Proton Unlimited – A growing gap in the ecosystem?

    Might I suggest a closer alignment between Proton Meet and Proton Unlimited?

    While one appreciates the realities of resource constraints, the current approach—where an already top-tier plan effectively becomes “upgradeable” (as seen with Meet and Lumo)—undermines the original concept of Unlimited. It begins to feel less like a complete offering and more like a base layer for subsequent add-ons.

    If this direction is necessary, a clearer restructuring would be preferable: either introduce a new, higher-tier plan, or reconsider the scope and pricing of the existing ones. As it stands, what was once the definitive individual tier now feels somewhat diluted.

    As a result, I find myself defaulting to Signal and Google (with local encryption) for everyday use, and reconsidering the long-term value of the subscription.

14. Onboarding Opt-out or Toggle

    Current onboarding experience needs to be streamlined and needs to respect users. Currently, there are emails sent daily for the first week or so and then there are frequent notifications and banners and modal windows that pop up and interrupt the user while trying to complete a task or just send a quick email. This constant interruption and disrespect for user's time and agency is not welcomed. For those that need onboarding, let them opt in and for those that do not need onboarding, let them opt out. There should be a single question upon new account creation: "Would you like to activate the onboarding experience?" A simple Yes/No would either enable or disable all onboarding for that user. There should also be an On/Off toggle in the settings to enable or disable onboarding. Other than that, just make finding help easy without being intrusive or distracting.

15. Proton Drive Photo Management

    If there was also a way I could import photos from files uploaded to the photo section of drive from already existing directories within proton drive, that would also be very helpful. You guys are doing great!

16. Proton Meet needs to have option to switch to back camera

17. Warn when too many recipients, and be able to select/copy/remove all

    I am trying to send news to my family and friends. I thought having the paid plan would allow me to avoid GMail and send the mail to everybody (150 emails approx). But I can't.
    What is even more frustrating:
    - there is no warning when we are close/reach the limit
    - there is no message saying "you are trying to send to 104 people, the limit is 100", just a general message
    - there is no way (AFAIK) to remove all BCC recipients directly, I need to remove them one by one
    - there is no way to select-all for copy-pasting in notepad++ (so I know get the entered emails, figure out the count, and remove the ones after 100)

20. Proton pass: Password Generator/Autofill Fails Inconsistently in Browser Extension

    Hello Proton Pass Team,

    I'm reporting a recurring bug that significantly impacts daily usability.

    === THE PROBLEM ===

    The password generator and autofill functionality in the browser extension
    WORKS SOMETIMES, but fails unpredictably on many websites. There is no
    consistent trigger or indication of why it works on some forms but not
    others.

    SYMPTOMS I OBSERVE:
    • Extension does not detect password fields reliably (~50% failure rate)
    • No popup/icon appears next to password inputs on many sites
    • When clicking extension icon manually, autofill/generator still may
    not activate for the current page
    • Sometimes requires refreshing the page or reloading extension to work

    WHAT WORKS:
    • Manual vault search + copy/paste (slow, workaround)

    WHY THIS MATTERS:
    This makes the extension unreliable for daily use. Users cannot trust
    it will work when registering on new sites. The "hit-or-miss"
    experience erodes confidence in the product.

    REQUESTED FIXES:
    1. Debug field detection logic across common form frameworks
    2. Add visible status indicator ("Autofill ready" / "Detection failed")
    3. Improve documentation on known incompatible sites/form types

    === FEEDBACK UX CONCERN ===

    Additionally, it was surprisingly difficult to find how to submit
    this report. After 15+ minutes of searching, I couldn't locate an
    obvious "Report Bug" button inside the extension itself.

    Please make the feedback path more visible within the extension UI.

    I'm reporting a recurring bug that significantly impacts daily usability.

    === THE PROBLEM ===

    The password generator and autofill functionality in the browser extension
    WORKS SOMETIMES, but fails unpredictably on many websites. There is no
    consistent trigger or indication of why it works on some forms but not
    others.

    SYMPTOMS I OBSERVE:
    • Extension does not detect password fields reliably (~50% failure rate)
    • No popup/icon appears next to password inputs on many sites
    • When clicking extension icon manually, autofill/generator still may
    not activate for the current page
